Connect Zoho Campaigns
Send consenting contacts to selected Zoho Campaigns lists, map customer fields and keep unsubscribe, bounce and spam events synchronized.

- •A Zoho Campaigns account with at least one mailing list.
- •A Zoho user allowed to manage Campaigns contacts.
- •An explicit marketing consent field in the AIChatVault lead-capture form.
- •A documented lawful basis and privacy notice for the marketing activity.
Connect and select lists
- •Open the agent, choose Integrations and select Zoho Campaigns.
- •Connect with Zoho and approve contact access.
- •Select one or more default mailing lists for consenting contacts.
- •Map AIChatVault lead fields to the appropriate Zoho contact fields.
- •Optionally configure routing rules for specific sources, pages or agents — a rule can route matching contacts to specific mailing lists, to specific Zoho Campaigns Topics for preference-center-level targeting, or both.
Bulk-sync leads captured before you connected
If you connect Zoho Campaigns after you already have consenting leads in AIChatVault, use the backfill tool on the Zoho Campaigns integration page to sync them in bulk instead of waiting for new activity to trigger a sync.
- •Preview shows a dry-run breakdown of how many leads are eligible, how many are suppressed, and how many lack consent, before anything is sent to Zoho.
- •Start a backfill using either your configured routing rules or a single chosen list.
- •Only leads with active marketing consent are included — suppressed and non-consenting leads are skipped, the same as live sync.
- •Track progress live, with total, processed, success, skipped and failed counts.
- •Pause, resume or cancel a running backfill at any time.
- •Only one backfill can run per integration at a time.
Review and retry failed syncs
The integration page also shows a failed-sync review, so subscription problems don't require digging through logs.
- •See successful, skipped, failed and suppressed counts at a glance.
- •Each failed row is categorized as retryable (a transient failure) or action required (a configuration problem, such as an invalid list).
- •Retry a single failed contact from its row, or retry every current failure at once.
Configure preference events
- •Copy the generated unsubscribe, bounce and spam webhook URLs from AIChatVault.
- •Create the matching webhooks in Zoho Campaigns settings.
- •Do not regenerate the webhook secret unless you are prepared to update every Zoho webhook URL.
- •Run the connection test to verify token, mailing-list access and consent configuration.
Live AI actions during the conversation
A connected Zoho Campaigns integration also gives the AI agent a small set of live tools it can call while the conversation is still happening. Because marketing consent carries real legal weight, these tools are more tightly gated than the Zoho CRM and Zoho Desk tool sets.
- •Check whether the conversation's contact is currently subscribed to marketing emails, and to how many lists, so the AI can answer a customer asking whether they are subscribed.
- •Unsubscribe the contact immediately as soon as they clearly ask to stop receiving emails — this always executes, since it can only reduce marketing exposure.
- •Subscribe the contact to marketing emails — but this tool is only offered to the AI when marketing consent capture is enabled for the agent, and it only works after the customer has clearly and explicitly agreed in their own words, which the AI must quote.
- •A contact who previously unsubscribed or was suppressed can never be resubscribed through chat — the same one-way suppression rule enforced by the webhook sync applies here too.
How Zoho Campaigns works end to end
- 01A lead is captured with consent
AIChatVault records the customer fields and the explicit marketing-consent state configured in lead capture.
- 02Consent and routing are evaluated
Records without the required consent are skipped; consenting contacts are checked against routing rules and default lists.
- 03Fields are mapped and subscribed
AIChatVault sends the mapped contact data to the selected Zoho Campaigns mailing list or lists.
- 04Zoho manages campaign delivery
Campaign content and delivery remain controlled inside Zoho Campaigns and its configured topics and preferences.
- 05Preference events synchronize back
Configured unsubscribe, bounce and spam webhooks update AIChatVault suppression and integration activity so affected contacts are not treated as active subscribers.
Verify carefully
- •Use a controlled address and confirmed consent to test subscription.
- •Confirm the contact enters the expected list with correct field values.
- •Test preference-event webhooks in a safe environment where possible.
- •Review skipped records rather than bypassing missing consent.
